Houstonian is a community bot built for the Houston Discord server. This policy explains what
data it stores and why — in plain terms.
What Data We Collect
To power server features, the Bot collects and stores the following:
- Discord identifiers — your Discord user ID, username, and display name.
- Message content — messages sent in the server are stored to support features like
!tldr, the AI conversation model, and chat log search.
- Command usage — which commands you run and when, used for leaderboards and analytics.
- Voice activity — when you join and leave voice channels, and for how long.
- Game/application activity — game names and session durations reported by Discord's presence system.
- Moderation records — DrunkTank entries, bans, and mod log entries created by server staff.
- Reaction and role data — role assignments and emoji reactions where relevant to Bot features.
Discord Privileged Intents
The Bot uses the following Discord privileged gateway intents, as permitted under our Discord Developer application:
- Message Content Intent — required to read message text for commands, AI responses, and chat logging.
- Guild Members Intent — required to track member joins, leaves, and role changes for moderation and analytics.
- Presence Intent — required to track which games or applications members are using for activity analytics.
How It's Used
Collected data is used exclusively to operate Bot features — leaderboards, server stats, moderation logs,
AI responses, and analytics. Aggregate stats (like top chatters or voice hours) may be visible to server
members through bot commands or the dashboard. No data is sold or shared with third parties for advertising.
Third-Party Services
- AI providers (Anthropic, OpenAI, Google) — when the AI chat feature responds to a message, that message content is sent to a language model provider to generate a reply. Their respective privacy policies apply to data processed by them.
- DataDog — anonymized operational metrics (e.g. command counts, latency) are sent to DataDog for monitoring. No personally identifiable information is included.
Data Retention
- Chat messages — retained for as long as the Bot is active in the server.
- Voice and activity sessions — retained indefinitely to support historical analytics.
- Command usage — retained indefinitely for leaderboard and stats purposes.
- Moderation records — retained indefinitely to prevent abuse, even after a user leaves the server.
- Server configuration — retained until the Bot is removed from the server.
Data Deletion Requests
You may request deletion of your non-moderation data (messages, commands, voice sessions, activity sessions)
by opening a support ticket in the Houston Discord server and tagging a server op. Moderation records
(bans, DrunkTank entries, mod log entries) are retained to prevent abuse and are not subject to deletion requests.
Children's Privacy
The Bot is not directed at children under the age of 13. We do not knowingly collect data from anyone
under 13. If we become aware that a user is under 13, their data will be deleted promptly.
Security
All data is stored on private infrastructure accessible only to authorized server operators.
We use commercially reasonable measures to protect stored data from unauthorized access.
Changes to This Policy
We may update this policy from time to time. The effective date at the top of this page will
reflect the most recent revision. Continued use of the Bot after changes are posted constitutes
acceptance of the updated policy.
